How to Make a Wedding Album PDF for Client Approval
Before printing, most studios send the couple a preview of the album design for approval. A single PDF with all spreads in order is easy to view on a phone or computer and keeps feedback organised. This guide explains how to create one from your Photoshop spreads.
Why a PDF
- One file instead of dozens of JPGs.
- Spreads appear in the correct order with page numbers.
- Clients can view it on any device without special software.
- Feedback can reference sheet numbers clearly.
Step 1: Export preview JPGs
Print files are too large to send. Create smaller previews: File > Export > Export As, JPG, around 2000 to 3000 pixels wide for a 12x36 spread, quality around 70 to 80 percent, sRGB. Name files in order: 01, 02, 03 and so on. You can automate this with an action and File > Automate > Batch; see speed up your album design workflow.
Step 2: Combine into a PDF
Several approaches work:
- Adobe Bridge: the Output workspace can create a PDF contact sheet or one image per page, depending on version.
- Photoshop scripts: some versions include PDF Presentation under File > Automate; availability varies with version.
- Acrobat or other PDF tools: combine JPGs into a single PDF.
- Built-in OS options: on Windows, select the JPGs in order and print to Microsoft Print to PDF; on Mac, open them in Preview and export as PDF.
Whichever you use, check the page order and that each spread fills its page.
Step 3: Add sheet numbers
Clients give clearer feedback when every spread has a visible number. Add a small number in a corner of each preview JPG (not on the print file), or ensure the PDF viewer shows page numbers.
Step 4: Consider a light watermark
For new clients, a subtle watermark with your studio name discourages printing from preview files before final payment. Keep it light and away from faces so it does not spoil the viewing experience; see how to add a studio logo watermark.
Step 5: Send with clear instructions
Tell the client how to give feedback: list sheet number, photo position and the requested change. Set a reasonable deadline and state how many revision rounds are included. Shared drive links work well for large PDFs.
Managing revisions
Collect all changes into one list per round. Make the changes, export a new PDF with a version number in the name (for example v2) and send only once all changes are done. Keep earlier versions until the album is approved.
Final approval
Ask the client to confirm approval in writing, by email or message, before sending files to the lab. This protects both sides if questions arise later.
File size tips
A 40-spread album PDF at moderate quality is usually manageable. If it is too large, reduce preview width or JPG quality slightly. Check text readability after compression.
