How to Organise Photos Before Designing an Album

Most of the time lost in album design is not spent in Photoshop. It is spent hunting for a photo, re-exporting images or redoing spreads because the order changed. A simple organisation routine before design saves hours on every album. Here is a practical system used by many studios.

1. Copy, back up, then cull

Copy all camera cards to a project folder named with the date and the couple's names, and make a second backup on another drive before deleting anything from the cards. Then cull: remove blinks, duplicates, missed focus and near-identical bursts. Lightroom, Photo Mechanic or any viewer with star ratings works. The goal is a shortlist, not a final selection.

2. Folder structure that matches the story

Create numbered folders in event order so the album sequence is visible on disk:

  • 01 Bride preparation
  • 02 Groom preparation
  • 03 Ceremony and rituals
  • 04 Couple portraits
  • 05 Family groups
  • 06 Reception
  • 07 Details and decor

Numbered names keep the folders in the right order in every program. For Tamil weddings you might split rituals into Nichayathartham, Muhurtham and Oonjal; see our Tamil wedding album page order guide.

3. Rate for the album, not for the gallery

Clients receive a large online gallery, but the album needs fewer images. Give five stars to hero images (one per spread), four stars to strong supporting images, and leave the rest. A 30-sheet album typically needs 30 hero images and three to five supporting images per spread. Counting stars at this stage tells you immediately whether an event has too many or too few photos for its planned spreads.

4. Colour-correct in batches

Correct white balance and exposure per event, using one reference image and syncing the settings to similar shots. Skin tones that change from page to page are a common complaint, and fixing them later inside layered PSDs is much slower. See colour correction tips for album photos.

5. Export at the right size

Export the selected images as full-resolution JPGs in sRGB into a separate folder, with the folder number kept in the file name (03_045.jpg). Do not export small web versions for album work; you will need the pixels when a photo becomes a full-page hero. A 12x36 sheet at 300 DPI is 10800 x 3600 pixels, so even half of that sheet needs a 5400 pixel wide image to print at full quality.

6. Make a page plan

Before opening a template, write a one-line plan for each sheet: sheet number, event, hero photo file name and the number of supporting photos. A spreadsheet is enough. Share it with the client when the album has strict requirements (for example, must-include family members). This plan also helps you choose templates: a spread with one hero and four small frames needs a different layout from a spread with two equal portraits.

7. Choose templates last

With the plan ready, choose a template family that fits the photo counts and orientations. Browse by size in the 12x36 wedding album PSD collection and keep downloaded templates in a separate Templates folder, not mixed with client files.

8. Archive the whole project

After delivery, keep the culled originals, the exported selects, the layered PSDs, the final print JPGs and the page plan together. Reprints, parent albums and anniversary orders are much easier when everything is in one place.
